General terms and conditions

1. General Information:

These General Terms and Conditions apply to the event "Int. Polecamp" organized by Delia Poledance Rosenheim - Owner: Anamaria Bozga (hereinafter referred to as "Organizer") for "Camp 1" (Sept 26–29, 2026), "Camp 2" (Oct 1–4, 2026), and the "XXL Camp" (Sept 26 – Oct 4, 2026) at the Bibione Palace Hotel (Bibione/Italy).

2. Booking:

All bookings – whether via fax, email, or online (internet) – are binding. Online bookings require a registration form to be filled out completely. Acceptance of these General Terms and Conditions is required before submission. Within a maximum of 5 working days, the participant will receive a confirmation/invoice in PDF format via email from the Organizer. The discounted early bird price is only valid if the order and payment are completed within the specified deadline. For bookings via email or fax, an additional handling fee of EUR 20 will be charged.

3. Payment:

All bookings must be paid in full within 7 days from the invoice date by bank transfer to the specified account, without deductions. If payment is not received on time, any applied discounts (e.g., early bird discounts) will be forfeited. No further confirmations (such as payment receipts) will be sent by the Organizer after payment.

4. Services:

The participation fee includes the selected accommodation (single, double, triple, or quadruple room), all workshops and parties, and full board including soft drinks with meals in the dining hall as per the program/service overview. For the NON-POLER PACKAGE (for accompanying persons), only the hotel and parties are included – not the workshops. Travel to and from Bibione and additional services (e.g., drinks, phone, photoshoots, etc.) are not included.

5. Cancellation / No-Show / Rebooking:

According to § 18 (1) Z 10 FAGG, there is no right of withdrawal. This means that the services offered by the Organizer (such as event tickets) fall under leisure activities and are exempt from the right of withdrawal. Each booking is binding immediately upon online registration and obligates the participant to accept and pay for the service booked.

Cancellations must be made in writing (by email to info@polecamp.eu or by registered mail to the Organizer). The cancellation fee is a percentage of the total price (as per invoice) and depends on the timing of the cancellation:

• Up to the 60th day before the event start .................. 25%

• From the 59th to 30th day before event start .......... 50%

• From the 29th day before event start ......................... 100%

If a participant who initially shared a room with others cancels, the remaining participants must pay the price difference due to the room reclassification (e.g., from a triple to a double room).

If a participant does not check in by 6:00 PM on the first day of the event and has not informed the Organizer of a "Late Arrival" (arrival after 6:00 PM) at least 7 days in advance, it is considered a "No-Show", and the room is forfeited for the entire stay. In the case of a "No-Show", a 100% cancellation fee applies.

The cancellation fee must be paid within 7 days of the cancellation to the Organizer's specified account. For rebookings (e.g., name changes), a flat fee of EUR 40 will be charged up to 7 days before arrival. From the 6th day before arrival, a name change is considered a cancellation and new booking, and the cancellation fees above apply.

6. Minimum Number of Participants:

The minimum number of participants for the "Int. Polecamp" is 70 people per camp (70 for "Camp 1" and 70 for "Camp 2").

7. Registration Deadline:

The registration deadline is September 19, 2026, at 8:00 PM.

8. Event Cancellation, Changes, Refunds:

No discount is offered for late entry or early departure. If the Organizer cancels the event (e.g., due to not reaching the minimum number of participants), the amount paid will be refunded via the original payment method within two months after the planned event date.

In the case of rescheduling, all bookings remain valid for the new date. Changes to instructors, workshops, or program content are reserved. No reimbursement will be provided for expenses (e.g., travel, accommodation, handling fees) in case of cancellation, rescheduling, or program changes.

9. Check-In, Usage:

All tickets for the International Polecamp are issued directly by the Organizer during on-site check-in. Hotel check-in at Bibione Palace is open on the first day from 11:00 AM to 3:00 PM.

Control wristbands will be issued for participation in workshops and parties. These must be worn on the wrist at all times during the event and must not be removed. If a wristband is removed or cut, it becomes invalid and cannot be replaced for free. If a new wristband is issued, a fee of EUR 250 must be paid in cash on-site.

The Organizer assumes no liability for lost or removed wristbands. By registering, the participant agrees to these Terms and Conditions and also explicitly accepts the house rules of the Hotel Bibione Palace.

10. Liability:

The participant and all persons registered by them acknowledge that neither the Bibione Palace Hotel nor the Organizer assumes any liability. Participation in all workshops and parties is at the participant's own risk. The participant is solely responsible for any injuries or damages.

The participant agrees that all correspondence related to their booking may be sent to the email address provided and that such communication will be considered received once sent to that email.

11. Data Protection:

The participant acknowledges that the personal data provided will be electronically processed by the Organizer for the purpose of fulfilling the contract and shared with the hotel. By registering, the participant consents to receiving future information emails from the Organizer. This consent can be revoked at any time.

12. Photography & Film / Copyright and Usage Rights:

The Organizer notes that photos and videos will be taken during the event. Footage and photos of all attendees (participants, visitors, artists, staff, etc.) may be published and possibly offered for sale. They may also be used by the Organizer for PR, promotional, and marketing purposes (e.g., websites, Facebook, other social media, brochures, flyers, press releases, TV and cinema spots, etc.).

By registering for the International Polecamp, the participant explicitly consents to the use and publication of photos and videos featuring them free of charge.
