Important information for all participants

It's almost time! Only a few days left until the International Pole Camp in Bibione.


So that you can prepare yourself optimally for the camp, we have summarized the most important information (status: of 10.9.2025) at a glance! We ask you to read this page carefully and, if necessary, to check it again for any updates one day before departure.


THE "ALL-INCLUSIVE" WEEKEND

At the Int.l Polecamp (almost) everything is included. In addition to accommodation at the **** Bibione Palace Hotel, full board and all workshops, all participants receive non-alcoholic drinks such as water, lemonade and cola from the self-service bar with their meals (lunch and dinner) in the dining room FREE OF CHARGE. Other drinks and alcoholic beverages must be paid for. Full board begins with dinner on the first day of the event and ends with lunch on the last day of the event.


If you would like to have lunch at the hotel on the day of arrival, this must be announced to reception beforehand at check-in and paid for separately on site!

ARRIVAL

The “Int. Polecamp” takes place at the Bibione Palace Hotel, Via Taigete, 20, 30020 Bibione (VE), ITALY. You can find a route planner (Google Maps) here.

ARRIVAL BY CAR

If you are not traveling to Italy with your own vehicle (registered to you), a user permit in Italian is required (to be presented by ÖAMTC).


All other country information and traffic regulations for Italy can be found on the ÖAMTC website!

ARRIVAL BY PLANE OR TRAIN

If you are coming by plane, Venice (airports: Marco Polo or Treviso) is the nearest airport. If you are traveling by train, Latisana is the nearest train station. We do not offer transfers and you will have to make your own way to the hotel!

CHECK-IN

After arriving at the hotel (free parking in the underground garage), please come directly to our “Int. Polecamp” Check-In (TKM), which is located after the entrance on the left in the hotel lobby (opposite the reception) and is open from approx. 11.00 to 15.00 hours. You will receive further information and your control wristbands there.


Please do not forget to bring the printed or digital ticket (QR code) that was sent to you immediately after booking.


Only then (otherwise the receptionist will send you back to us) will you collect your room key from reception. As we are registered as a group, room changes are unfortunately not possible on site! All participants who arrive in the afternoon will receive the above-mentioned documents directly at the hotel reception when our check-in is closed.

MEET & GREET

On the first Polecamp day at 2.45 pm, we will be holding a “Meet & Greet” on the pool terrace. We will briefly introduce ourselves and all the coaches, tell you personally about the weekend and answer any questions you may have.

LATE-ARRIVAL

If you do not check in by 6 p.m. at the latest on the first day of the event, we will consider this a “no-show” (100% cancellation fee) and you will automatically forfeit your room for the entire duration of your stay! In the event of a late arrival, please notify us by e-mail at least 3 days before arrival (if you have not already done so)!

ADDITIONAL NIGHTS

Participants who have booked an extra night before the event should check in directly at the hotel reception where they will also receive their room key. In addition, on the first day of the event between 11.00 and 15.00 you must also check in at TKM (Int. Polecamp)! There you will receive further information and your control wristbands for the event.


ATTENTION: No extension nights are indicated on the tickets, as the ticket is only valid for the event. But don't panic! We have not forgotten your extension nights, but have saved them in another system and already forwarded them to the hotel.

WORKSHOPS

You will also receive a printed workshop plan from us on site at check-in. If you want to put together your personal workshop schedule in advance, visit our workshop page. There you will find all workshops in the interactive calendar from mid-August.


In order to offer you a certain flexibility on site, all workshops can be attended without pre-registration. If there are too many participants in a workshop, it will be closed for safety reasons and the “first come - first serve” principle will apply.


If one of your “preferred workshops” is already full, you will always have the opportunity to switch to one of the other workshops offered at the same time. In order to offer you the widest possible choice of workshops, these change every hour and there are always around 50 poles available per hour. However, please understand that not all participants will always find a place in the desired workshop!


Unless a specific request was made at the time of booking, the organiser will assign you to either Group A or B. This information will be provided in advance on your invoice.


Before the start of a workshop, the training equipment must be cleaned/disinfected by each participant. Disinfectant will be provided by the organizer. This measure is obligatory and part of our hygiene concept

GYMNASTICS MAT, YOGA BLOCKS AND GRIP EQUIPMENT

Please bring your own exercise mat, knee pads and possibly a grip aid. You must bring your own grip aids! As experience has shown that participants prefer to work with their own equipment, this will not be provided at the Polecamp! If possible, please also bring 2 yoga blocks, as these may be needed for some workshops!


Appropriate protection in the form of shoe protectors for the platform of the heels/boots is recommended to prevent damage to shoes and the floor.


As it is almost impossible to clean the poles after using itac2, there is an absolute ban on itac2 at the International Polecamp!

SAFETY

Your safety is important to us. Therefore, we as organizers do everything necessary to ensure this. Nevertheless, EVERY single participant is responsible for checking the pole on which he/she is dancing before the start of the respective workshop. Participation in all workshops is at your own risk and TKM is not liable for any injuries! injuries!


The use of the poles (in all locations) outside the workshop times is NOT permitted for safety reasons without exception!!!

OWN DRINKS

As this is not an apartment complex, but a first-class hotel, it is strictly forbidden to bring your own drinks in the evening! We ask you to comply with this request from the hotel management!

LATE CHECK-OUT

If you wish, you can use your room until 5 p.m. on the last day of the event. However, the key must be handed in and checked out at reception by 5 p.m. at the latest. In the event of an extra night after the event, the room must be vacated by 10.00 am!

PHOTOGRAPHY & VIDEO

Photographs will be taken and filmed during the event. Pictures and film will then be published on the website and on social media (Facebook, Instagram & Co). If someone does not want to be in the photo or film, we ask you to simply “get out of the picture” during the recordings! :-) Thank you very much!


You will find the date for our annual group photo on the pool terrace on the information sheet that you will receive on site.


We ask you not to take photos (with flash) during the shows, as we will take photos and also make a movie, which we will of course be happy to show you on Facebook and our website after the event.

POLE PHOTOSHOOT

If you have booked a photo shoot, you will receive all the details directly at our check-in desk when you arrive.

SHOPPING TIME

Once again this year, we will have a sales stand at our check-in. We are offering a 2+1 free deal: buy 3 items of your choice and get the cheapest item free (while stocks last). Our sales stand is open daily from 5.30 p.m. to 6.30 p.m. (Cash payments only!)

MEN AT POLECAMP

We are delighted that men are taking part in the International Pole Camp again this year. It is always a pleasure to see that men are also enthusiastic about this sport, which is often perceived as being more feminine.

SOCIAL MEDIA

We are of course very happy about every post you write on Facebook or Instagram and link to the Polecamp (@polecamp.eu). To ensure that posts about the camp are found by everyone, we ask you to use the hashtag #internationalpolecamp!
